AI voice telephony automation

Press one for accounts. Nobody has ever wanted this.

A phone menu is a filing system the caller has to operate on your behalf. An agent that listens instead can take the actual question, look the account up, and answer it or fetch somebody who can.

What AI voice telephony automation is

AI voice telephony automation connects a conversational model to the phone line through a programmable voice API. The caller speaks normally instead of choosing from a menu, and the agent can look up their account before answering. What it cannot settle it passes to a person, along with everything the caller has already said.

The menu was never for the caller

A phone tree exists to route work, and it does that by making the caller guess which of five options describes their problem. Most of them guess wrong at least once. By the time a person picks up, the caller has spent their patience and explained nothing.

  • 01

The options never fit the question

A menu offers the categories your business uses internally. Callers arrive with a problem, not a department.

  • 02

    Explaining it twice

Whatever the caller said to the machine is gone. They start again from the beginning.

  • 03

Simple questions still need a person

Balance queries and delivery dates get routed to staff because the menu cannot answer them. They are most of the queue.

The architecture of a phone agent

  • 01

    On the line, through Twilio

Calls come in and go out over a programmable voice API, on the number you already publish. The number and the carrier arrangement you already have can usually stay as they are.

  • 02

It can look things up mid call

The agent queries your systems while the caller is talking. That is the difference between answering and pointing.

  • 03

    A handover that carries context

Anything it cannot settle goes to a person with a summary of the call attached. Nobody asks the caller to start again.

How the first three weeks run

  1. Week 1

01We listen to the calls you get

Two days on what people actually ring about. The repeat questions sort themselves into a short list quickly.

  2. End of week 2

    02You get a costed plan

The plan names the first calls and the cost. You decide whether it goes ahead.

  3. From week 3

03It takes one kind of call

The agent starts narrow and transfers the rest. What it handles widens as the recordings hold up.

Telephony workflows in action

Three calls that happen every day. Each one ends in an answer or a warm handover.

Your support line

A billing question, answered on the call

Somebody rings about a charge they do not recognise. The agent verifies them, reads the account and explains the charge, without a ticket ever being opened.

Your supplier calls

Outbound, when the stock says so

A forecast shows a line running short and the agent calls the supplier to confirm a lead time. What was agreed is transcribed into the record afterwards.

Your booking line

Appointments taken over the phone

The agent finds a slot, books it and confirms the details back to the caller. The appointment reaches your system directly.

What a voice agent should and should not do

Voice is less forgiving than chat. A caller cannot scroll back, and a wrong answer said confidently out loud is worse than a slow one.

It answers from your records
Account data and your own documentation, not general knowledge.
It says when it is unsure
Then transfers, rather than guessing at something spoken aloud.
The caller is told what it is
People are informed they are speaking to an automated agent.

What the phone agent is built from

The telephony you already have, with a model behind it. Nothing here is a requirement, and the work goes ahead against whatever carrier arrangement you run.

I have to be honest, sometimes it's hard to find a company or someone abroad to do your project. Not only might you waste your time and money, there is this thing called trust. In business you must trust the person you are dealing with.

Frequently asked questions

Will there be an awkward pause before it answers?

There is a pause, and the work is in keeping it short enough to feel like conversation. It comes from three steps running in sequence, which are hearing the end of a sentence, deciding what to say and speaking it. We measure it on your setup rather than quoting a number, because the carrier route affects it as much as the models do.

What happens when it cannot solve the problem?

It transfers, and the person picking up gets a summary of what has already been said. The caller does not start again, which is the part that makes people hate automated lines. Which calls transfer immediately gets decided in the first fortnight.

Can the agent use a particular voice?

You can choose from a range of synthetic voices and set the pacing and the accent to suit the brand. Cloning a specific real person's voice is a different question. It needs that person's documented consent, and it is not something we set up on request.

What can AI phone agents actually do on a call?

Verify a caller, then answer from your own documentation. What they should not do is anything irreversible without a person, which on most systems means refunds and cancellations.

Is this automated call center AI, or something smaller?

It scales either way, and most projects start smaller. One line and one kind of call is a better first step than replacing a contact centre. It tells you what callers ask.

Do you do Twilio AI voice integration specifically?

Yes, and it is the usual route because the programmable voice side is well documented and reliable. If you already run a number somewhere else, that is worth checking before anybody moves it.

Next step

Let AI do the repetitive
half of the job.

Data entry, answering the same tickets, chasing numbers between systems. We automate the parts that repeat. Your team keeps the parts that need judgement.
